Step-by-Step Guide
Identify the next payroll date
Log into Gusto immediately. Find the next payroll run date on the dashboard. If payroll is due within days, it MUST be processed. Add a trusted person as admin NOW.

Add an admin immediately
Go to Settings → Permissions → Add Admin. A trusted person needs full admin access to run payroll, manage employees, and handle tax filings. This cannot wait.

Verify the funding bank account
Gusto debits the business bank account to fund payroll. Ensure the connected bank account has sufficient funds and will remain accessible. Check Settings → Banking.

Review employee benefits
Check for active health insurance, 401(k), commuter benefits, and other employee benefits administered through Gusto. Employees rely on these. Contact each benefit provider.

Coordinate with CPA on tax filings
Gusto files payroll taxes automatically (941, state withholdings, W-2s). The CPA needs to know what Gusto is handling so there is no overlap or gaps in tax compliance.

- Gusto admin login email and password
- Company name and EIN
- Next payroll date
- Pay schedule (weekly, bi-weekly, semi-monthly, monthly)
- Number of employees
- Connected bank account for payroll funding
- Active benefits (health, 401k, etc.)
- CPA/accountant contact info
